Privacy notice

What we collect

We collect your email, dog profiles, photos you upload, email preferences, and activity such as sign-ins, visits, and community interactions. A PupMail Monthly membership or prepaid purchase also requires a shipping address, order and membership history, payment-provider references, and authorization records. Authentication codes are stored as hashes and expire; payment card numbers are entered on Stripe's pages, not stored by PupMail.

How it is used

We use this information to operate your account, send requested emails, choose Parcel contents, process authorized payments, fulfill deliveries, provide support, understand member engagement, and prevent misuse. Optional email preferences do not control necessary account, order, security, payment, reminder, or cancellation messages. We do not use a dog's name as a unique account identifier.

Service providers

Our hosting and email providers process data needed to run the service. Stripe processes payment, billing, and fraud-prevention information. Shipping providers receive information needed to deliver orders. These providers also process data under their applicable notices and legal obligations.

Public photos and community profiles

Photos stay in your account unless you choose Public for that dog and we approve them for public display. Public displays may show dog-related details. We do not display your account email or shipping address. Keep private information out of anything you write or upload publicly. Withdrawing permission removes the photo from future public display on PupMail; it cannot recall copies others already saved while it was public. We do not include customer photos in downloadable software packages.

When you choose Public for a dog, we may also display the dog profile information you provide, such as bio, personality, favorite things, and optional city/state-style home turf. Private PupMail Notes are available to their sender and recipient households. Authorized staff may review reported Notes when needed for moderation, safety, or support. We do not display owner emails, delivery addresses, payment information, Bone totals, or interaction lists on public profiles.

Free Bones

We record which dog sent a Bone to which dog, when it was sent, and notification preferences. Owners can see Bone activity in their private mailbox. Historical interaction records are retained. These records are not published on public profiles. We may keep older Bone-pack payment references as historical transaction records, but Bones can no longer be purchased.

Optional PupMail emails

You can use free PupMail without joining optional marketing emails, and you can join PupMail Monthly regardless of that preference. When you opt in, marketing emails may include product introductions and offers. My PupMail lets you manage optional email preferences and community notifications. Use the unsubscribe link or My PupMail to stop optional marketing emails. Account, security, membership, payment, shipping, and cancellation messages remain separate because they are needed to operate the service.

Cookies and measurement

Essential cookies support login and security, including an optional remembered-device login. PupMail uses a first-party visitor cookie lasting up to 90 days to understand return visits. We associate a keyed identifier with visit times, page names, browsing sequences, broad device type, selected navigation links, and, if signed in, your account; meaningful account and community actions are also recorded for service and engagement reporting. Detailed page history is retained for up to 90 days and periodically removed. This first-party tracking does not store IP addresses, URL query contents, Note bodies, keystrokes, or session replays. Cloudflare Web Analytics measures public-page activity. Optional Meta measurement loads only after you choose Allow in Cookie settings; it can report a public page visit and a new-owner registration to Meta. No Meta Pixel or Cloudflare beacon is placed on private account, payment, order, code-entry, or administrator pages. We do not send your contact-form text, shipping address, authentication code, or private dog photos to these measurement tools.

You can change the Meta choice from Cookie settings in any public-page footer. Recognized Global Privacy Control signals are treated as a request not to enable Meta measurement. Browser blocking may prevent analytics. These choices do not change essential service communications.

Security traffic records

To investigate misuse and block abusive traffic, we record connection IP addresses, browser information, page filenames, request times and counts on customer pages. These records are restricted to administrators. Security traffic older than 14 days is removed when the traffic administration page is opened. When statistics filtering is enabled, IP associations with visit records are retained for up to 90 days, with cleanup when the traffic administration page is opened, to exclude blocked traffic from reports. Unusually high request rates can trigger temporary IP blocks for administrator review. Approved permanent IP block entries remain until removed, and administrative block actions are retained in our audit log. An IP address may be shared by multiple visitors. We do not include URL query strings or private message contents in these traffic records.

Retention and your choices

Sign-in codes expire after 10 minutes; background cleanup removes old authentication records. You can edit dog profiles, choose Private for a dog to turn off its public profile, photo display, Bones, and PupMail Notes, delete photos, unsubscribe from optional PupMail emails, and pause or cancel PupMail Monthly in My PupMail. Contact support to request access, correction, or account deletion. We verify control of the email first. We may retain payment, fraud-prevention, dispute, or legally required accounting records where needed for legal obligations and legitimate recordkeeping rather than deleting an outstanding financial record.

Keep your email account secure. No internet service can promise absolute security. Suspected unauthorized account activity should be reported to support immediately. The service is intended for adult pet owners, not children.
